How to Deduplicate Prospects Without Losing Useful Information

October 23, 20262 min read

Removing duplicates is not the same as deleting every repeated company name. A business can have several locations and many legitimate contacts. Good deduplication reduces repeated identities while preserving the information needed to tell those records apart.

AI-powered execution works best when targeting, messaging, and cadence are treated as one connected system.

1

Use strong identities before names

Why it matters: Normalized business domains, stable company identifiers and canonical profile URLs are usually stronger matching signals than names alone. Normalize URL casing and tracking parameters carefully, but do not merge unrelated organizations because their display names resemble each other. Shared hosting domains and generic social URLs should not become universal company identities.

  • Prefer explicit identifiers over fuzzy names.
  • Treat missing identities as uncertainty.
  • Keep ambiguous matches for review.
2

Merge fields rather than overwrite blindly

Why it matters: A newer source may supply an additional address while an older source contains a confirmed email. Preserve both with provenance when they do not conflict. Define which source wins for a current title or headquarters address. Empty incoming fields should not erase useful existing values, and conflicting values should not silently become confirmed facts.

  • Keep source and update time where available.
  • Do not replace a known value with an empty one.
  • Distinguish enrichment from correction.
3

Separate entity dedupe from campaign dedupe

Why it matters: Two people at one company may be valid database records but unsuitable for simultaneous outreach about the same purchase. Conversely, one person with two emails is usually one campaign recipient unless you have a clear reason otherwise. Apply campaign exclusions in addition to database identity matching; neither layer replaces the other.

  • Review repeated recipients before sending.
  • Keep branch locations attached to their company.
  • Preserve suppression when records merge.
